A new career at City Rental Services

Having worked for City Rental Services for just over six months, I have learnt a lot in my short time here, including the ins and outs of not just letting a property but maintaining it throughout its tenancy.

Having been a student myself, I have found an enthusiasm for helping students find their ideal properties at this time of year when there is such a competitive demand.

For students it can be a stressful and time-consuming time whereby in most cases, they have had just months to kindle new friendships and must commit to finding accommodation for the next year of study.

I have had the opportunity to meet some of these students facing the challenge this year and I have taken great pride in being able to help them find their perfect home.

At City Rental Services, we strive to make our application process as easily accessible as possible.

Through the use of electronic application forms and online payment details, the large majority of the process can be completed from the comfort of their own homes.

We also offer a lot of flexibility for when they do need to pop in to see us.

Each day at City Rental Services has brought something new, and I have enjoyed rising to different challenges and the experience that it brings.

As we move closer to the start of the next academic year we are preparing for the period in which we move students in and out of our properties.

I am very much looking forward to this time, where all of the work pays off and the students, in their hundreds, embark on the next chapter of their life at university.

In the office this week, for example, the phones are ringing red hot, with over 70 more student houses to let being uploaded to RightMove.

During this early stage of student lets for 2017, there are many properties for prospective tenants to choose from, and it’s already noticeable that the more up together and well-presented properties are letting first.

And for property landlords in Bristol, it’s a good time to consider a few minor improvements to make your property more attractive, such as painting front doors, tidy the gardens, and cleaning the windows.

This year, CRS has made some improvements to its systems and sees the launch of a new bespoke property letting database that’s able to deal quickly and efficiently with all applications from start to finish online.

City Rental Services groups have been instructed to make ONE whole DEPOSIT payment per group this year, in an attempt to eliminate multiple single payments being received over a long period of time from student tenants in Bristol.

This is a new concept that we hope will make our landlords’ accounting easier and clearer.

All deposits should be registered within 30 days of receipt and a copy of the certificate sent on to admin@citypropertylets.co.uk for our records.

City Rental Services will issue a copy of the certificate to all groups as a standard part of the application process.

Coming soon will also be a New Tariff of Services for letting only landlords, which we’ll discuss in further on a blog post.

City Rental Services are proud to be offering a new comprehensive “Tariff of Services” this year in an attempt to assist our letting only landlords in the run-up to, and changeover period, of student houses.

Services will vary from simple key holding to complete handling of the changeover period – watch this space for further details in coming weeks.

Another successful student changeover for our Bristol lettings office

The management team here at City Rental Services are recovering after the annual student changeover – but what exactly does it entail, you might ask?

After months of careful planning, legislation compliance and 1000’s of forms being electronically signed we at City Rental Services are proud to say, “It all went very well”.

On the 01st and 2nd of July, our office team moved approximately 400 City Rental Services students, into a range of student accommodation in Bristol.

It became clear that many months of forward planning in the cleaning, gardening and general upkeep departments made the swap a much smoother and easier task than in previous years.

With most of the work being carried out prior to the move in date by City Rental Services the landlords had only to test the fire and smoke alarms while checking in their tenants leaving time for resolving any deposit disputes and arranging for deposits to be refunded to outgoing tenants whilst attending to the needs of new tenants taking up occupation of their chosen homes for the student season 2016/2017.

This year our portfolio of letting-only landlords in Bristol have relied on whatever help they can get from us to help them cope with the ever-increasing legislative burdens imposed on property landlords.

Hints and advice on how Bristol landlords can deal with student accommodation changeovers

Here at City Rental Services we’re looking at that time of the year when Bristol property landlords can get hassled, stressed and over-whelmed – the student accommodation changeover. We help more than 700 students move in.

And with the student cycle entering the changeover period, here’s a quick guide filled with hints and advice on how property landlords in Bristol can make it a less stressful experience for themselves and student tenants.

Here’s our top tips to ensure that all student tenancies end promptly in 2016:

Serve Notice to all student tenants.

You must serve notice even to fixed-term tenancies. Whilst most students will move on, it’s important to cover yourself in the event of a refusal to leave.

Serving notice is a legal requirement and should be accompanied with the selected tenancy deposit scheme’s prescribed information.

Make sure the Law is on your side and serve Notice. This should be done two months before each student tenancy is due to expire.

Be friendly to your student tenants.

In Bristol, back-to-back tenancies mean there’s often no gap between a student tenant group moving out and new tenants moving in.

This means that landlords can rely on student tenants to ensure the property is in order for the next group. Throughout June, visit the property more frequently to check on progress being made.

Don’t instruct large maintenance jobs until affected tenant’s exams are over.

Work with the attitude that the empathy and respect you show will be returned by your student tenants.

Buy a notepad and make lists.

Make sure you know what’s happening and when. Student accommodation inspection checklists help ensure that work gets done.

Curb unnecessary trips to IKEA and save fuel by ensuring your list details everything you need.

Accuracy will help if you need to claim any deposit money at a later stage. For example – if a chair needs replacing, note in which room it’s located and the exact nature of the damage.

Find a good cleaner.

We believe that with the right encouragement many student tenants are fantastic and will get the properties cleaned appropriately.

However, sometimes a professional cleaner will be required. It is a busy time for student property cleaners in Bristol, so book these well in advance so your rented properties are organized.

Talk to your student tenants.

Tell your student tenants about your expectations. Tell them about the cleaning expected. Tell them where you want the keys placed in the student properties. Explain to them the process of returning their deposits, so they understand – otherwise, your phone will ring 80 times asking for ‘My deposit’. And, finally, make sure you have a forwarding address for each student tenant when they move out.

We’re really excited here at City Rental Services this week – with the start of our student accommodation season for 2016-17.

An Open Letter to all our student tenants in Bristol

Here at City Rental Services, we wanted to blog an Open Letter to all of our student tenants, following another hectic student accommodation changeover.

To all our students working with City Rental Services and City Property Lets, we wanted to say a massive thank you to you all for completing your academic student year with us, and our landlords, in Bristol.

It’s been one of the fastest, most successful and trouble-free student changeovers. The team dealt with the movement of 1,200 student tenants in 48 hours – not to mention a maintenance workforce of over 60 contractors.

There were very few late key returns, and every key had some identifying feature. When dealing with several hundred keys overnight, this is vitally important!

With the outgoing groups making a real effort to leave their student houses clean and tidy, rubbish cleared, and ready for the next occupiers, we’re delighted with the low levels of complaints from incoming groups.

We’re taking this opportunity to wish you all well for the remainder of 2015: it won’t be long till November, when we start to re-list!

How to leave student rented property in Bristol this June

As we enter June, at City Rental Services we’re preparing for one of the most important days in our annual calendar – 30th June.

This is the big day when many of our student tenancies come to an end.

Advice on student accommodation in Bristol from City Rental Services

Exams are over, leaving parties are in full swing, the Glastonbury weekend is upon us (rain or shine) and our student tenants are getting ready for the big pack-up and clean-out in their rented properties across Bristol.

It’s also the month that student tenants should be thinking about maximizing the amount of rental deposit they see returned to them from their letting agencies and landlords in Bristol.

Here’s our checklist of things to do during June to ensure you get a full rental deposit back at the end of the academic year:

* You’re responsible for clearing, cleaning and tidying your bedroom and the communal areas of your rented property. Make sure you clean under the bed, behind the wardrobe, window sills and skirting boards – basically, a thorough clean is required. Does your vacuum work? If not, contact your landlord or letting agency.

* Communal areas will include the bathroom, which can be quite a challenge. Make sure the toilet is thoroughly cleaned, including bath and wash basin. Full cleaning and polishing is needed, with all rubbish removed, and shower curtain washed, or cleaned fully if glass. Wipe down and remove any mould on window sills.

* One of the main communal areas to consider is the kitchen. Fridge freezers will need to be turned off before 27th June, to give time before the final weekend for all foodstuffs out and the freezer de-frosted fully. Use a good oven cleaner, including the racks, grill and hob – and remember the oven sides, inside and out.

* General rubbish needs to be cleared, so make sure all black bin bags full or refuse are cleared. Ask a friend with a car to do a local tip run – the Council can also help remove larger items such as furniture, for a small fee.

* With the full student rented property thoroughly clean and tidy, and ready for inspection, keys need to be returned, and a new address left with the letting agency or landlord. Also remember to read all meters and note the readings.

* If there are any damages you know of which are your responsibility, let the letting agency or landlord know, as this will speed up deposit refunding if mentioned at the time of rented property vacating.

Sticking to the above simple points should go a long way to helping student tenants to get their rental deposits back quickly and straightforwardly.

Why do CRS charge Agency Fees?

This is a question we answer regularly at City Rental Services and as with all businesses, we need to make a living to survive.

We charge Agency Fees to facilitate our core services, namely to provide a range of rented accommodation to students and professional tenants alike – which we’ve done for over 18 years.

The system has evolved whereby letting agents charge a percentage of a month’s rent, to cover all costs incurred – including all the responsibility of taking a tenant from an enquiry for a rented property to moving into that rented property.

At CRS, our Agency Fee structure is simple and clear – 35% of one month’s rent plus VAT. So, on a £400 per month room, this would incur a Fee of £168.

This amount covers the cost to our independent letting agency business of providing every aspect of the process involved and costs incurred, such as:

* I.T. systems

* Phone systems (including mobiles and iPads)

* Transport

* Website costs

* CRS links & www.rightmove.co.uk links

* Staff & business premises costs

* VAT payments & processing

* Signboards & window displays

* Landlord and tenant liaison time

* Document production for all parties
